Graduate Studies Onboarding

Graduate Studies provides initial onboarding training, resources, and system access to all new Graduate Program Coordinators. The Graduate Coordinator role encompasses many duties and responsibilities, so it is essential new staff receive the support and guidance they need to begin their new positions. Please contact Director of Advising Sarah Driver (sbdriver@ucdavis.edu) to begin the onboarding process and/or notify of staff changes.

Online Training

New graduate program coordinators will be asked to complete the following online trainings.

  1. FERPA: Student Privacy, Confidentiality, and Data Security
  2. HIPAA: Privacy and Security Training

Banner Access

Coordinators will need access to Banner. Request access here. Additional Banner access will be provided after in-person training. Coordinators will need a DUO token to access Banner and can request this DUO token through their supervisor/CAO.

Program Overview

Program pages provide a good overview of the requirements and structure of a graduate program. The program page includes degrees offered, admission deadlines and requirements, degree requirements, program bylaws, and the list of faculty and staff contacts. New coordinators should review this information. 

Graduate Studies Training

New coordinators will receive training from a number of Graduate Studies staff during their first week in the position. Coordinators must complete in-person training with the Senior Academic Advisor (SAA) and internal fellowship advisor for their program in order to receive access to our systems.

Graduate Studies Advisory Committee 

The Graduate Studies Advisory Committee (GSAC) is an advisory committee that discusses issues that affect graduate program staff across campus. It serves as a resource and support network and makes recommendations to the Graduate Studies Dean’s Office. The committee is composed of graduate program staff and Graduate Studies staff.

Graduate Education Certificate Series

The Graduate Education Certificate Series provides essential knowledge for campus staff and advisors on how best to support graduate students and manage graduate programs.  The courses provide an overview of several areas key to graduate student success and exploration of policies and procedures in graduate education. To receive certification, you must complete all five foundational courses and two electives.
